- Call Data: Phone numbers of inbound callers, call recordings, call transcripts, appointment details, and lead qualification data processed by our AI voice agents on your behalf.
- Account Information: Name, email address, billing information, and communication preferences of our business clients.
- Website Data: IP address, browser type, pages visited, and usage patterns collected via cookies and analytics tools when you visit our website.
3. How We Use Your Information
- To provide, operate, and maintain our AI voice agent services
- To process and route calls, book appointments, and sync data to your CRM
- To improve our AI models and service quality (using anonymized, aggregated data only — never individual call recordings)

4. Call Recording and Data Processing
Our AI voice agents record and transcribe calls made to your business phone number. These recordings are:
- Stored in encrypted, SOC 2-compliant infrastructure
- Accessible only to you (the business client) and authorized Aevolve personnel for support purposes
- Retained for 90 days by default, configurable per your requirements
- Never sold to third parties
- Never used to train AI models on individual conversations
5. HIPAA Compliance
For healthcare practices (dental offices, medical practices), we maintain HIPAA-compliant data handling. We will execute a Business Associate Agreement (BAA) with any covered entity. Protected Health Information (PHI) captured during calls is encrypted in transit and at rest, stored in HIPAA-compliant infrastructure, and access-controlled per BAA terms.
6. Data Sharing
We do not sell your data. We share information only with:
- Your CRM and Tools: We push call data, appointments, and lead information to the CRM and scheduling tools you authorize during setup.
- Infrastructure Providers: Cloud hosting, telephony, and AI processing providers who are contractually bound to protect your data.
- Legal Requirements: When required by law, subpoena, or legal process.
7. Data Security
We implement industry-standard security measures including encryption in transit (TLS 1.3) and at rest (AES-256), access controls, audit logging, and regular security assessments. CRM credentials are stored using envelope encryption and are never accessible in plaintext.

Depending on your jurisdiction, you may have the right to:
